FMCG ERP - All-in-One FMCG Distribution System

FMCG ERP is a web application for consumer goods distributors. One system for warehouse stock, outlet sales, van sales with stock on the truck, promotions, returns, receivables, and bookkeeping. Stock is issued automatically by the nearest expiry date (FEFO). Every transaction posts straight to the general ledger, so stock, receivables, and financial reports always match.

Product overview

One system for the whole FMCG distribution flow

FMCG distributors handle thousands of small transactions every day. Goods have expiry dates, come in different units, promotions change every month, and sales reps sell straight from the truck. When this data is spread across several apps and spreadsheets, stock and cash differences become routine. FMCG ERP brings everything into one web application with the same rules for the warehouse and for the van.

Products, brands, and packaging

  • Brand and principal masters. Food, beverage, personal care, and household products are set up through categories and attributes, with no limit on the number of brands.
  • One SKU can have many units: pcs, pack, carton, bottle, sachet, or weight units. Pack contents are set per SKU, for example 1 carton = 24 pcs.
  • Barcode or GTIN per packaging. Scanning a carton and scanning a piece both resolve to the same product with the correct quantity.
  • Minimum order, order multiples, and whether a pack may be broken are set per product.

Stock, lots, and expiry

  • Every goods receipt records the lot number and expiry date. Expiry- controlled products cannot be received without a date.
  • Stock is issued by FEFO: the lot with the nearest expiry goes out first. Changing the lot requires a permission and is recorded in the audit trail.
  • Remaining shelf-life policy per SKU or per customer. Goods too close to expiry are never shipped to outlets that reject them.
  • Hold and recall a lot across all warehouses in one click. A held lot cannot be sold until it is released.
  • Trace a lot from supplier to transfer, outlet delivery, return, and write-off in a single traceability screen.
  • Storage locations and bins, putaway, picking lists, stock counts, inter- warehouse transfers, and stock adjustments with reason codes.
  • Inventory is valued at moving average and always matches the inventory account in the general ledger.

Outlet sales and pricing

  • Outlet master with sales channel and outlet type (wholesale, retail, modern trade, and any others you need).
  • Price lists per channel, outlet type, customer group, customer, and branch. Order line prices come from the price list, not free typing.

Prices below the list need a specific permission.

  • Tiered percentage or amount discounts, and buy-X-get-Y promotions. Free goods still reduce stock and are costed.
  • Credit control: credit limits, receivable ageing, and credit override with approval.
  • Partial delivery per order line, picking lists, delivery notes, invoice per delivery, and return credit notes that can be applied to other invoices.

Van sales with stock on the truck

  • Each vehicle is its own warehouse with a separate stock balance.
  • A clear trip flow: load, physical count, start trip, sell from the van, return, and close the trip.
  • Van sales use the same prices, promotions, and credit control as warehouse sales. One transaction creates the order, delivery, invoice, and cash payment at once.
  • Sales cash is tracked per trip: float, expenses, deposits. On trip close, stock and cash are recounted. Any difference needs a reason and is posted automatically.
  • One vehicle can only have one active trip. No double selling.

Clean returns handling

  • Returns from outlets go into quarantine first. Good items can be restocked; damaged or expired items are written off line by line.
  • Returns that claw back a promotion automatically calculate the bonus cost to be charged back.
  • Return reports by reason and item condition.

Purchasing and imports

  • Purchase requests, RFQs, supplier quotes, POs, goods receipts, supplier returns, and automatic replenishment from minimum stock.
  • Purchasing in multiple units and foreign currencies with a rate per document.
  • Import shipments, duties, and landed cost flow into product cost.

Finance and accounting

  • Receivables, payables, collections, cash and bank, and general journal.
  • Every operational transaction creates its journal automatically.
  • Sub-ledger vs general ledger reconciliation is available for inventory, receivables, and payables.
  • Approval workflows for PRs, POs, sales orders, manual journals, write- offs, stock transfers, stock counts, special prices, and credit overrides. Approvers on leave can delegate.

Reports for decisions

  • Sales by brand, channel, outlet, and salesperson.
  • Margin per SKU and per brand after promotions and bonus cost.
  • Fill rate per product, near-expiry stock (0-30, 31-60, 61-90 days), stock ageing, receivables and collections, and van trip reconciliation.
  • All reports respect the user's branch and warehouse access.

Security and control

  • Detailed roles and permissions with data scope per branch or per warehouse.
  • Audit trail on key changes, in-app and email notifications.
  • Document numbering formats configurable per document type and branch.
  • Opening data import from Excel, encrypted daily backups, and unused modules can be switched off.
  • Web-based, works on laptops and phones. Interface and messages are available in Indonesian.

Needs addressed

Problems it solves

1. Physical stock does not match the records. Goods leave without a clear lot, returns are mixed into good stock, and differences only surface at stock count.

2. Expired goods in the warehouse. Old lots get buried because picking does not follow expiry dates.

3. Confusing units. Bought by the carton, sold by the piece, stock recorded in a mix. Conversions are done by hand and often wrong.

4. Inconsistent prices and promotions. Reps type their own prices, promos are calculated outside the system, free goods are never costed.

5. Van sales are hard to control. Truck stock, cash sales, and deposits are written on paper. Cash and stock differences are hard to trace.

6. Receivables balloon. No system-enforced credit limit and no visibility of receivable ageing.

7. Bookkeeping lags behind. Finance re-enters operational transactions by hand, so reports are late and often disagree.

8. Reports do not answer business questions: which brand makes money, which outlet returns the most, what is the fill rate to customers.

9. Unclear access rights. Everyone sees everything, or branches cannot work independently.

Features & strengths

What you can do

Features that support your daily workflows.

1. Stock is always tracked per lot and expiry. Automatic FEFO, quarantine for returns, and lot traceability from supplier to outlet.

2. Units and packaging are set once per SKU. The system converts cartons, packs, and pieces automatically in purchasing, stock, sales, and returns.

3. Prices come from price lists, not typing. Discounts and free goods are calculated by the system, including their cost in margin reports.

4. Fully controlled van sales. Separate truck stock, one active trip per vehicle, one-click cash sales, and cash and stock reconciled at trip close.

5. Warehouse and van follow the same rules. No second version of prices, stock, or credit.

6. Credit control and approvals built into the flow. Credit limits, overrides with approval, and approval workflows for key documents.

7. Automatic accounting. Every transaction becomes a journal entry. Stock value matches the general ledger to the cent, with reconciliation reports.

8. Ready-made FMCG reports: sales by brand, channel, outlet, and salesperson; margin per SKU; fill rate; near-expiry; returns by reason; trip reconciliation.

9. Access per branch and per warehouse. One user can see all of finance but only their own branch's sales.

10. Ready for Indonesia: Indonesian language, WIB time zone, rupiah, and opening data import from Excel. Web-based, nothing to install on user devices.

11. Built on Laravel and Vue with hundreds of automated tests that keep stock, pricing, and journal rules correct in every release.
